Sending Email
Overview
Scout Manager includes a built-in email system for communicating with your unit. Compose rich-text emails and send to individuals, distribution lists, or custom selections.
Required role: Administrator, Leader, or Event Coordinator
Composing an Email
1. Navigate to Communications
Go to Communication → Send Email from the main navigation.
2. Select Recipients
Choose who receives the email:
- Distribution list — pre-defined groups (All Scouts, All Adults, specific den/patrol, etc.)
- Individual selection — pick specific people from the roster
3. Compose Your Message

| Body | Rich-text editor with formatting: bold, italic, lists, links, images |
The editor supports:
- Text formatting (bold, italic, underline)
- Headings
- Bullet and numbered lists
- Links
- Images (paste or upload)
4. Preview
Click Preview to see how the email will look before sending.
5. Send
Click Send. The email is delivered to all selected recipients.
Parent Auto-CC
When you send an email to scouts, their linked parents are automatically CC’d. This ensures parents stay informed about scout activities without requiring separate emails.
This behavior is configurable at the unit level.
Email Delivery Tracking
After sending, you can see delivery status for each recipient:
- Sent — successfully delivered
- Bounced — email address is invalid or mailbox is full
- Suppressed — recipient has opted out of emails
Navigate to Communication → Email Status to view delivery reports.
Tips
- Use distribution lists for routine communications — they auto-update as membership changes
- Preview before sending to catch formatting issues
- Check the Email Status page if someone reports not receiving emails
- Bounced addresses may need to be updated in the member’s profile
