Scout Accounts
Overview
Scout accounts let you track how much each scout or family owes (or has in credit). When you charge for events, record dues payments, or credit fundraiser earnings, the individual balance updates automatically.
Required role: Treasurer or Administrator
How Scout Accounts Work
Each scout (or family) has a member account that tracks their individual balance:
- Positive balance = the family has credit (they’ve overpaid or earned fundraiser credits)
- Negative balance = the family owes money (charges exceed payments)
- Zero balance = all paid up
Setting Up Scout Accounts
- Navigate to Accounting → Accounts
- Click Add Account
- Set type to Member
- Link to a specific scout
- Click Save
Repeat for each scout in your unit, or use the bulk setup option if available.
Common Operations
Recording a Payment from a Family
- Open the scout’s member account
- Click Add Transaction → Deposit
- Enter the amount received
- Save
Charging for an Event
Use the Charge for Event feature to automatically create charges on each attendee’s account.
Viewing a Family’s Balance
Parents can see their own family’s balance when logged in. Leaders can see all balances from the accounts list.
Tips
- Scout account balances appear in personalized newsletters
- The Scout Ledger Report shows full transaction history per scout
- Negative balances mean the family owes money
- Parents see only their own family’s account — not other families'
